Each person’s working files and drafts, private to their owner, administrators included, until the owner shares them.

Pleadings, evidence and correspondence filed against the case. Access follows the matter team and its ethical walls.

Restricted folders

Restrict an HR, partnership or conflicts folder and it disappears for the rest of the firm, administrators included, every subfolder and file with it.

Sharing with expiry

Share with a person, role, department or the whole firm as viewer, commenter, editor or manager, with an end date if the need is temporary.

Guests and links

Invite someone outside the firm to view or comment on a document, or send a view-only link with a password, an expiry date and a use limit.

Three places

The right default for every kind of document.

Some documents belong to the firm, some to a person and some to a client’s matter, so each has its own place and its own starting rule. The Firm Library is open to the firm, the way a shared drive is. Personal files are private to their owner until they choose to share, and administrators manage the Library, not anyone’s Personal files. Matter documents sit inside the case, so the matter team and its ethical walls decide who reaches them.

Starred, Recent and Shared with me sit alongside the three places, and you can filter any list by owner, date, source or matter. When a draft in Personal is ready for the firm, move it to the Library.

Sharing

Exactly the access the job needs, for as long as it needs it.

Restrict a Library folder and it is hidden from the rest of the firm, in lists, in search and in the AI, and sharing a folder higher up does not reach into it. Only its owner and the people it is shared with can open it. Workspace administrators see that it exists and ask its owner for access. If the owner cannot be asked, they can take emergency access: view only, for 24 hours, with a reason the owner is told at once.

  • Share with a person, a role, a department or the whole firm, with an optional expiry date
  • Stop viewers and commenters from downloading, printing or copying a file
  • Invite a guest from outside the firm to view or comment on a single document
  • Send a view-only link with a password, an expiry date, a use limit and downloads turned off, and revoke it at any time
  • Let colleagues request access, and transfer ownership when someone moves on
  • Turn off all sharing outside the firm with one setting, which stops every guest and link at once

Accountability

A record of who had access, and a way back from mistakes.

Every share given or removed, every change to who can see a file or folder, every link created or revoked, every guest invited, every ownership transfer and every emergency access, with each file opened, is written to the audit trail with the person and the time.

Deleted files and folders go to the Recycle bin for 30 days and restore with their folder tree intact. Empty bin clears your Personal bin in one step, and administrators can do the same for the Firm Library, apart from anything that was in a restricted folder, which stays out of their sight. Matter files can be deleted forever one at a time. Anything left in a bin after 30 days is removed automatically.

Documents you write and edit in ModulawAI keep their version history: uploads, AI drafts, saves and restores are each kept as a version you can view or restore. When you import a Word file, the original upload stays downloadable from History.

Search and AI

Find a document by what it says. Never by what you cannot open.

The Library is indexed by meaning, so you can ask the assistant for “the indemnity we agreed with a logistics client last year” and get the document, whatever its filename. Scanned PDFs are run through text recognition first, so a scanned judgment or a signed agreement is as searchable as a Word file.

Search, the AI assistant and project knowledge apply the same access check as opening the file, before anything is ranked. A restricted folder never surfaces in a colleague’s answer, a Personal file never feeds someone else’s draft, and the links the assistant cites are issued to the person asking, checked again when they are opened. From there, any set of documents can go into Tabular Review to be answered as a grid.

Working on files

Open, read and comment without downloading.

PDFs, Word documents, images, audio and video open in the browser, and comments can be pinned to a spot on a PDF or an image. Word files open in the ModulawAI editor, where colleagues can edit together, suggest changes for review, and draft with the AI on the firm’s letterhead.

Migration

Move a whole firm’s drive, and prove nothing was left behind.

Import into the Firm Library, Personal files or a matter. Folder trees are recreated as they were, and every import ends with a file-by-file report you can reconcile against the source. FAQ

Questions, addressed.

Can a partner or administrator read my Personal files?

No. Personal files are private to their owner. Administrators manage the Firm Library, not anyone’s Personal files. Share a Personal file with a colleague, or move it to the Library when it is ready for the firm.

Can the AI assistant see documents I cannot?

No. Search, the assistant and project knowledge use the same access check as opening a file, so an answer can only draw on documents the person asking is allowed to open.

Can I share a document with someone outside the firm?

Yes, if your firm allows it. Invite a guest to view or comment on a single document, or send a view-only link that can carry a password, an expiry date and a use limit. Either can be revoked at any time, and one setting turns off all outside sharing at once.

What happens when I delete a file?

It goes to the Recycle bin for 30 days and can be restored, folder tree included. After 30 days it is removed automatically, and permanent deletions are recorded in the audit trail.

Which drives can I import from?

Zoho WorkDrive, Microsoft OneDrive and SharePoint. WorkDrive files up to 10 GB each are streamed in, and OneDrive and SharePoint files up to 200 MB each. Every import produces a file-by-file report, and failed files can be retried on their own.

Can an administrator open a restricted folder?

Not by default. Administrators see that it exists and ask its owner for access. If the owner cannot be asked, an administrator can take emergency access: view only, for 24 hours, with a reason the owner is told at once, and every file opened is recorded.
